Epic for Claude, ChatGPT and Copilot

Health system operations staff can ask Claude, ChatGPT or Copilot which clinics have open appointment slots, which referrals wait for scheduling, which accounts sit in a billing work queue and how many In Basket messages a pool has waiting. Answers come from Epic, within access your Epic team approves and the minimum data each role needs. The guided pilot runs alongside your Epic and privacy teams, and most start view only.

Ask in a sentence

What can your team ask Epic?

Questions from patient access manager, referral coordinator, hospital billing supervisor and others, answered from live Epic data and only for the people allowed to see them.

Records it works with

  • Appointments
  • Referrals
  • Work queues
  • Hospital accounts
  • In Basket messages
  • Departments
  • Provider schedules
  • Patient access manager

“Which cardiology clinics have open new patient slots in the next two weeks?”

  • Referral coordinator

“How many incoming orthopedic referrals are still waiting to be scheduled after five days?”

  • Hospital billing supervisor

“Which work queues have the most accounts older than 30 days, and what is their total balance?”

  • Clinic manager

“How many messages are waiting in the front desk In Basket pool this morning?”

  • Revenue integrity analyst

“Which denial codes appeared most often on outpatient imaging accounts last month?”

  • Ambulatory operations director

“What was the fill rate for each clinic's provider templates last week?”

Changes, governed

What the assistant can prepare in Epic

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Epic under a named person.
  • Move an appointment to an open slot in the same department

Schedulers move visits on their own unless the visit is within 24 hours; then the clinic manager approves.

  • Update a referral's status after the receiving clinic responds

The referral coordinator confirms each status change before it is saved in Epic.

  • Add a follow-up note to an account in a billing work queue

The biller confirms; notes on accounts above $25,000 need the billing supervisor to approve.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Epic

Epic holds the full medical record, so access must stay at the minimum each job needs. What a role can see mirrors what your Epic security already allows. Late appointment moves and large accounts need a supervisor. Epic keeps its own access logs, and mcpbizapps adds the person behind each assistant lookup so privacy teams see the whole picture.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Epic records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

How Epic gets connected

We connect Epic for your team in a guided pilot, on the same gateway every app uses. No code on your side.

  1. 01

    Agree the questions

We list the Epic questions and changes your team needs, and who may use each.

  2. 02

    Connect with your admin

Your Epic administrator creates a dedicated integration user with only that access.

  3. 03

    Test with your people

A small group tries it in Claude, ChatGPT or Copilot while we tune the tools.

  4. 04

    Roll out with rules

Roles, approval limits and the audit log are in place before everyone joins.

Epic questions

Does the assistant read clinical notes or results in Epic?

Only if your health system approves it for a specific role, and most start without them. Scheduling, referral and billing data cover the common operational questions while keeping clinical content out of reach.

How is Epic connected?

Through access your Epic and security teams approve and control. During the pilot we agree the departments, data and actions in scope, and your team can narrow the connection or set it to view only at any time.

Can an assistant help clinicians with In Basket?

It can report counts and ages of messages in a pool so managers can balance staffing. Reading and answering patient messages stays with clinicians in Epic, and the assistant never gives clinical advice.

Does mcpbizapps keep a copy of our Epic data?

No. When someone asks a question, mcpbizapps reads the answer live from Epic through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Epic is a trademark of its owner. mcpbizapps is not affiliated with Epic Systems; the name describes the connection only.
