UKG Pro for Claude, ChatGPT and Copilot

In UKG Pro, a wrong punch becomes a wrong paycheck, so store managers, HR teams and payroll staff ask a lot of questions before pay closes. Claude, ChatGPT or Copilot can answer them: employee job details, timecard exceptions, schedules and open shifts, time off requests, org levels. Site managers stay inside their own locations, and anything touching pay waits for a second approver. Roles are set up first, in a guided pilot.

Ask in a sentence

Records it works with

  • Employee jobs

  • Schedules
  • Open shifts
  • Time off requests
  • Org levels
  • Pay groups
  • Accruals
  • Store manager

“Which timecards at store 214 have missed punches that need fixing before the pay period closes?”

  • Workforce manager

“Where do we have open shifts this weekend across the Northeast region?”

  • HR business partner

“Which employees in the distribution org level have pending time off requests over 40 hours?”

  • Payroll specialist

“Who is close to overtime this week in the Phoenix warehouse?”

Changes, governed

What the assistant can prepare in UKG Pro

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to UKG Pro under a named person.
  • Fill an open shift with a qualified employee

The site manager confirms; shifts that create overtime need the regional manager to approve.

  • Prepare a timecard correction for a missed punch

The employee's manager confirms, and edits after the pay period closes need payroll approval.

  • Approve a pending time off request

Requests that leave a shift below minimum staffing need a second manager.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for UKG Pro

UKG Pro feeds pay for thousands of hourly workers. Managers work only in their own locations. Timecard and shift changes are previewed, a shift that creates overtime goes to the regional manager, and edits after the pay period closes need payroll. For wage and hour questions, every change can be traced to the manager who made it.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the UKG Pro records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

UKG Pro questions

Can site managers use it for scheduling in UKG Pro?

Yes. A manager can ask about coverage gaps, open shifts and who is near overtime, then prepare shift assignments to confirm. Roles keep each manager to the locations and org levels they run.

Does it change timecards on its own?

No. It prepares a correction and displays it as a preview. The manager confirms it, and corrections after the pay period has closed wait for payroll to approve before UKG Pro is updated.

Does it also cover UKG Pro payroll?

Lookups can include pay groups, earnings history and accruals for payroll roles. Payroll runs stay with your payroll team in UKG; the assistant answers questions and prepares corrections for review.

Does mcpbizapps keep a copy of our UKG Pro data?

No. When someone asks a question, mcpbizapps reads the answer live from UKG Pro through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

UKG Pro is a trademark of its owner. mcpbizapps is not affiliated with UKG; the name describes the connection only.
