Ellucian Banner for Claude, ChatGPT and Copilot

Registrars, advisors and enrollment staff want to know which sections have waitlists, which students have holds that block registration, how registration compares with last fall and which advisees are not yet registered. Ellucian Banner has the answers, and mcpbizapps lets people ask for them in Claude, ChatGPT or Copilot. Roles limit staff to the students and terms they serve, and overrides need approval. Banner is set up in a guided pilot.

Changes, governed

What the assistant can prepare in Ellucian Banner

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Ellucian Banner under a named person.
  • Add a registration override for a closed section

The advisor prepares it, and the department chair approves before the override is saved.

  • Release a hold after the owning office confirms it is cleared

Only the office that owns the hold, such as the business office, can approve the release.

  • Raise the enrollment cap on a section

The department chair approves increases up to five seats; larger increases also need the registrar.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Ellucian Banner

Banner is the main student record for registration, grades and aid, so a wrong override or released hold has consequences for students and audits. Staff reach only the students, terms and offices they serve. Each decision goes to the office that owns it, such as the chair for overrides or the business office for its holds. Every request names who asked.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Ellucian Banner records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Ellucian Banner questions

Can advisors use it for their advisees only?

Yes. An advisor's role can limit questions to their assigned advisees, so they can check holds, registration status and academic standing for those students without reaching anyone else on campus.

Does it support Banner registration overrides?

It prepares overrides, such as closed section, prerequisite or time conflict overrides, as previews. The approver your policy names, often the department chair, confirms each one before it is saved in Banner.

Can it answer financial aid questions?

For financial aid staff, yes: awards, enrollment status and satisfactory academic progress flags. Other roles do not see aid details unless your institution allows it during the pilot, and each lookup is logged.

Does mcpbizapps keep a copy of our Ellucian Banner data?

No. When someone asks a question, mcpbizapps reads the answer live from Ellucian Banner through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Ellucian Banner is a trademark of its owner. mcpbizapps is not affiliated with Ellucian; the name describes the connection only.
