Netsmart for Claude, ChatGPT and Copilot

Behavioral health and human services staff can ask Claude, ChatGPT or Copilot which clients have authorizations expiring soon, which service notes are unsigned past your deadline, which claims were rejected and how full each program's caseload is. Answers come from Netsmart, with each role given the minimum client data it needs. Changes need approval, and lookups carry a name. Your agency joins through a guided pilot.

Ask in a sentence

What can your team ask Netsmart?

Questions from program director, clinical supervisor, billing manager and others, answered from live Netsmart data and only for the people allowed to see them.

Records it works with

  • Clients
  • Appointments
  • Service authorizations
  • Progress notes
  • Claims
  • Programs
  • Caseloads
  • Program director

“How many clients in the outpatient program have service authorizations expiring in the next 30 days?”

  • Clinical supervisor

“Which progress notes from last week are still unsigned past our 72-hour deadline?”

  • Billing manager

“Which claims were rejected this month, and what were the top rejection reasons?”

  • Intake coordinator

“How many open intake appointments are there this week at the Riverside clinic?”

  • Quality improvement manager

“Which programs had the most services billed without a matching authorization last quarter?”

  • Case manager

“Which clients on my caseload have no appointment scheduled in the next 30 days?”

Changes, governed

What the assistant can prepare in Netsmart

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Netsmart under a named person.
  • Schedule an intake appointment in an open slot

Open slots are the intake coordinator's call; double-booking a clinician needs the program director.

  • Assign a client to a case manager's caseload

The program director approves any assignment that pushes a case manager above their agreed caseload limit.

  • Resubmit a rejected claim after billing staff correct it

The billing specialist confirms; any resubmission over $1,000 or older than 90 days needs the billing manager to approve.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Netsmart

Behavioral health and substance use records carry extra privacy rules, and many agencies serve clients who are especially vulnerable. Each person gets the minimum client data their work needs. Caseload limits and older claims have their own approvers. Every client lookup carries a name, so the agency can answer if a client asks who viewed their record.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Netsmart records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

    Connect with your admin

Your Netsmart administrator creates a dedicated integration user with only that access.

  3. 03

    Test with your people

A small group tries it in Claude, ChatGPT or Copilot while we tune the tools.

  4. 04

    Roll out with rules

Roles, approval limits and the audit log are in place before everyone joins.

Netsmart questions

Which Netsmart products does it work with?

Agencies use different Netsmart products, such as myAvatar for behavioral health or myEvolv for human services. During the pilot we connect the one you run and agree which programs and records each role may read.

Can the assistant read progress note content?

Most agencies start with note status only, such as signed or unsigned, rather than note text. If a role needs more, your agency decides that during the pilot, and every lookup is logged by name.

Can it help with service authorizations?

Yes. It can list authorizations nearing their end date or unit limit, by program and payer, so staff request renewals in time. Requesting and approving authorizations stays with your team and the payer.

Does mcpbizapps keep a copy of our Netsmart data?

No. When someone asks a question, mcpbizapps reads the answer live from Netsmart through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Netsmart is a trademark of its owner. mcpbizapps is not affiliated with Netsmart; the name describes the connection only.
