Zoho Books for Claude, ChatGPT and Copilot

Zoho Books users can ask Claude, ChatGPT or Copilot about unpaid invoices, recurring invoices due to run, bills awaiting approval, open sales orders and purchase orders, and VAT or GST owed. Transactions show the tax your edition would apply before saving, and larger ones follow your approval rules. A guided pilot confirms your country edition before Zoho Books is connected.

Ask in a sentence

What can your team ask Zoho Books?

Questions from finance manager, accounts assistant, sales executive and others, answered from live Zoho Books data and only for the people allowed to see them.

Records it works with

  • Invoices
  • Recurring invoices
  • Estimates
  • Sales orders
  • Bills
  • Purchase orders
  • Customers
  • Vendors
  • Finance manager

“What is the total of unpaid invoices in AED for customers in Dubai, by age?”

  • Accounts assistant

“Which bills are pending approval, and which vendor has the most?”

  • Sales executive

“Which sales orders for Falcon Interiors are confirmed but not yet invoiced?”

  • Owner

“Which recurring invoices will run next week, and what is their total?”

  • Purchase officer

“Which purchase orders from Gulfline Trading are still open past their delivery date?”

  • Tax accountant

“How much VAT is payable for the current return period so far?”

Changes, governed

What the assistant can prepare in Zoho Books

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Zoho Books under a named person.
  • Convert an estimate into a sales order

Orders above AED 40,000 need the finance manager’s approval.

  • Record a bill from a vendor PDF

Bills follow your Zoho Books approval rules, and new vendors need the accounts lead.

  • Pause a recurring invoice for a customer

The account owner confirms; pauses longer than three months need the finance manager.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Zoho Books

Zoho Books holds invoices, tax amounts and bank activity, and is often linked to other Zoho apps across the business. Sales staff see their own customers, and accountants see the books. A paused recurring invoice is lost revenue if forgotten, so pauses over three months need the finance manager.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Zoho Books records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Zoho Books questions

Does it respect the tax setup in our Zoho Books edition?

Yes. Zoho Books has country editions with their own tax rules, such as VAT or GST. Answers use your edition’s taxes, and prepared invoices show the tax Zoho Books would apply before saving.

Can we use it alongside Zoho CRM?

Yes. Zoho CRM can be connected as its own app, so a person might check a deal and the related invoices in one conversation, each under the roles set for that app.

Will the assistant bypass our Zoho Books approval rules?

No. Anything it prepares is saved only after the person confirms it and, above your limits, an approver agrees. Your own approval settings in Zoho Books still apply after that.

Does mcpbizapps keep a copy of our Zoho Books data?

No. When someone asks a question, mcpbizapps reads the answer live from Zoho Books through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Zoho Books is a trademark of its owner. mcpbizapps is not affiliated with Zoho; the name describes the connection only.
