QuickBooks Online for Claude, ChatGPT and Copilot

Owners, bookkeepers and accountants can ask Claude, ChatGPT or Copilot about QuickBooks Online: open invoices by customer, estimates waiting to be accepted, unpaid bills, expenses by category and profit and loss by class or location. Roles decide who sees what, and larger items need a second person. A guided pilot connects QuickBooks Online for the business, with the owner choosing roles.

“Which estimates sent in the last month have not been accepted or turned into invoices?”

  • Outside accountant

“What were total meals and travel expenses this year compared with last year?”

Changes, governed

What the assistant can prepare in QuickBooks Online

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to QuickBooks Online under a named person.
  • Turn an accepted estimate into an invoice

Invoices above $7,500 need the owner to approve before they are sent.

  • Enter a bill from a vendor invoice in email

Bills from new vendors always need the bookkeeper to check them first.

  • Create a new customer with billing and shipping addresses

A new customer record moves no money, so the person who asked confirms it alone.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for QuickBooks Online

QuickBooks Online keeps a small company’s bank activity, customer balances and often payroll totals in one place. Staff can look up an invoice without seeing profit and loss. Bills from new vendors, a common route for fake invoices, always go to the bookkeeper, and invoices above $7,500 need the owner.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the QuickBooks Online records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

QuickBooks Online questions

Can accountants use this across several QuickBooks Online clients?

Yes, when each client company is connected and the accountant has a role for it. Every answer names the company it came from, and requests are logged under the accountant’s own name.

Does it work with classes and locations?

Yes. If you track classes or locations in QuickBooks Online, people can ask for invoices, expenses or profit and loss by them, and roles can limit a person to one location.

Can the assistant send invoices to customers?

It prepares the invoice, and the person confirms it. Sending and receiving payment still happen through QuickBooks Online, and any invoice above your limit waits for a named approver first.

Does mcpbizapps keep a copy of our QuickBooks Online data?

No. When someone asks a question, mcpbizapps reads the answer live from QuickBooks Online through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

QuickBooks Online is a trademark of its owner. mcpbizapps is not affiliated with Intuit; the name describes the connection only.
