FreshBooks for Claude, ChatGPT and Copilot
In a small agency or practice, FreshBooks holds the money side of every client. Owners and team members can ask Claude, ChatGPT or Copilot about invoices sent and unpaid, time entries not yet billed, project budgets, client retainers and expenses waiting to be assigned. Bigger invoices and discounted estimates wait for the owner. FreshBooks is set up for the business through a guided pilot.

Changes, governed
What the assistant can prepare in FreshBooks
The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.
- 1 Prepare The assistant drafts the change from the request.
- 2 Preview and confirm The person sees exactly what will change.
- 3 Approve Above your limits, a second person decides.
- 4 Saved and logged Written to FreshBooks under a named person.
-
Create an invoice from unbilled time on a project
Invoices above $4,000 need the owner to approve before they are sent.
-
Prepare an estimate for a new client brief
Estimates below your standard hourly rate need the owner’s sign-off.
-
Log a time entry against a project
Normal entries are confirmed by the person logging them; over ten hours in a day, the project manager agrees.
Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.
Why it needs care
Governance built for FreshBooks
FreshBooks holds client rates, payments and the hours each person works, which most teams keep private. A contractor can log time without seeing rates or revenue. Estimates below your standard hourly rate need the owner, and so do invoices above $4,000.

FreshBooks questions
Can team members ask about their own time without seeing revenue?
Yes. A role can let a team member see their projects and time entries while invoices, rates and reports stay with the owner or an accountant you choose, and nothing else is shown.
Does the assistant send invoices to clients?
It prepares the invoice for the person to check. Once it is confirmed and, above your limit, approved, the invoice is created in FreshBooks, where your usual sending and payment settings apply.
Can it help with retainers?
Yes. People can ask how much of a retainer is used, which hours are left this period and which clients are close to running out, so you can raise it before the work stops.
Does mcpbizapps keep a copy of our FreshBooks data?
No. When someone asks a question, mcpbizapps reads the answer live from FreshBooks through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.
FreshBooks is a trademark of its owner. mcpbizapps is not affiliated with FreshBooks; the name describes the connection only.
