Expensify for Claude, ChatGPT and Copilot

Expense questions in Expensify are small but constant. Employees, approvers and finance can ask Claude, ChatGPT or Copilot which reports still wait to be submitted or approved, which expenses lack a receipt, how Expensify Card spend breaks down by category and tag, and which reimbursements are pending. Access follows workspaces. Your workspace admin joins us for a guided pilot to connect Expensify.

Changes, governed

What the assistant can prepare in Expensify

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Expensify under a named person.
  • Add unreported expenses to a draft report

The employee confirms the report before it is submitted to the approver.

  • Recode an expense to a different category and tag

Changes on approved reports need the finance associate to agree.

  • Prepare reimbursement for approved reports

Always needs a second approver in finance before any money is sent.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Expensify

Expensify stores receipts, card spend and the bank details used to reimburse each employee. An employee sees only their own reports, and a manager sees their team. Recoding an expense on an approved report needs finance to agree, and a reimbursement never goes out on one person’s approval, which matters at audit time.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Expensify records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Expensify questions

Can employees build expense reports by asking?

Yes. An employee can ask which expenses are unreported and have the assistant add them to a draft report. They review the preview and submit it, and your workspace approval workflow takes it from there.

Can it flag policy problems before approval?

Yes. Approvers can ask which reports include expenses over limits, missing receipts or possible duplicates, and see why each one was flagged, before deciding in Expensify. The decision itself stays with the approver.

Does it work with several Expensify workspaces?

Yes. Roles can limit a person to one workspace or let finance compare several. Answers always name the workspace an expense or report belongs to, which keeps their policies clearly apart.

Does mcpbizapps keep a copy of our Expensify data?

No. When someone asks a question, mcpbizapps reads the answer live from Expensify through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Expensify is a trademark of its owner. mcpbizapps is not affiliated with Expensify; the name describes the connection only.
