AI assistants for procurement and spend management
An AI assistant connected to procurement and expense software answers the questions requesters, approvers and finance ask about spend: where a purchase request is stuck, how much budget is left, which expense reports break policy. mcpbizapps holds each person to their department and role. Requests, card changes and payments appear as a preview, and anything that commits or moves money waits for a second approver, with the requester named on the record.

Use cases
What teams use it for
-
Where is my request
Employees ask whether their purchase request or requisition was approved, who holds it now and when the order will be placed, instead of chasing procurement over chat or email.
-
Budget checks before buying
Budget owners ask how much is committed and spent against their department budget this quarter before approving a new software purchase or a team offsite.
-
Policy review for finance
Finance asks which expense reports have out-of-policy items, missing receipts or duplicate charges, and gets a short list to review rather than reading every report.
-
Supplier and renewal questions
Procurement asks which contracts renew next quarter, what was spent with a supplier this year and which purchase orders are still open, ahead of negotiations.

What to control in Procurement and expenses
Procurement and expense tools control company cards, purchase orders and payments to suppliers, which makes them a target for fraud and policy shortcuts. The worry is an assistant raising a limit, approving its own request or changing where money is sent. Roles keep requesters, approvers and finance apart. Previews show the exact amount, supplier and budget before anything is submitted. Approvals require a second person for any change that commits or moves money. Each request stays on record under the name of the employee who made it.

Procurement and expenses questions
Can an assistant approve purchase requests for me?
It can show you what is waiting and summarise each request, and you can approve through it if your role allows. It never approves on its own, a requester cannot approve their own request, and larger amounts still need the approvers your rules name.
Can it change card limits or pay suppliers?
It can prepare those changes as a preview. Anything that raises spending power or sends money always needs a second approver, and supplier bank detail changes can be blocked entirely or held for finance to check by phone.
Will employees see other people’s expenses?
No, unless their role allows it. Employees see their own requests and reports, managers see their teams, and finance sees what it needs to audit. Every question is logged under the person who asked.
