Procurify for Claude, ChatGPT and Copilot

Was my purchase request approved? Has the order arrived? How much budget is left for this location? Procurify has the answers, and requesters and approvers can now ask Claude, ChatGPT or Copilot for them, along with which bills are ready to pay. Requests show the budget impact before submission, and payments always need two people. A guided pilot connects Procurify by location and department.

Ask in a sentence

What can your team ask Procurify?

Questions from facilities coordinator, school business manager, purchasing manager and others, answered from live Procurify data and only for the people allowed to see them.

Records it works with

  • Purchase requests
  • Purchase orders
  • Receiving
  • Bills
  • Vendors

  • Spend cards
  • Facilities coordinator

“Has my purchase request for the HVAC filters been approved, and who approved it?”

  • School business manager

“How much of the science department budget is committed or spent this school year?”

  • Purchasing manager

“Which purchase orders from Northfield Lab Supply have items still not received?”

  • Accounts payable clerk

“Which bills have a three-way match and are ready for payment this week?”

  • Location manager

Changes, governed

What the assistant can prepare in Procurify

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Procurify under a named person.
  • Submit a purchase request for items from a vendor quote

Routes through your Procurify approval rules, with the controller added above $10,000.

  • Mark items on a purchase order as received

The requester confirms quantities; partial receipts on orders above $5,000 need the purchasing manager.

  • Prepare a payment for matched bills

Payments for matched bills wait for a second finance approver, even for small amounts.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Procurify

Procurify links budgets, purchase orders and supplier payments, so access to it is access to company money. Requesters see their own requests and locations. A payment for matched bills cannot leave until a second person in finance approves it, however small, and partial receipts on large orders go to the purchasing manager.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Procurify records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Procurify questions

Does the assistant use our Procurify approval routing?

Yes. Purchase requests it prepares follow the approval routing you set by amount, department or account. mcpbizapps adds a confirmation step first and its own approver for amounts you choose.

Can it check budget before a request is sent?

Yes. The assistant shows what is committed and spent against the relevant budget in the preview, so a requester sees whether the purchase fits before it ever reaches an approver.

Can it pay vendors?

It can prepare a payment for bills that are already matched and approved. A second person in finance then has to approve it, and both names stay on the record of that payment.

Does mcpbizapps keep a copy of our Procurify data?

No. When someone asks a question, mcpbizapps reads the answer live from Procurify through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Procurify is a trademark of its owner. mcpbizapps is not affiliated with Procurify; the name describes the connection only.
