Spendesk for Claude, ChatGPT and Copilot

Spendesk users across several countries can ask Claude, ChatGPT or Copilot about spend requests in review, subscription cards and what each charged, supplier invoices waiting for payment, expense claims to reimburse and budgets by team. Requests are previewed before they go in. Paying a supplier or issuing a new card needs a second approver. A guided pilot connects Spendesk one entity at a time.

Ask in a sentence

What can your team ask Spendesk?

Questions from content lead, team manager, accounts payable officer and others, answered from live Spendesk data and only for the people allowed to see them.

Records it works with

  • Spend requests
  • Virtual cards
  • Subscription cards
  • Invoices
  • Expense claims
  • Budgets
  • Suppliers
  • Content lead

“Has my spend request for the stock photo subscription been approved yet?”

  • Team manager

“Which subscription cards on my team charged more this month than last?”

  • Accounts payable officer

“Which supplier invoices are approved and due for payment before Friday, in euros?”

  • Finance controller

“Which card payments over €200 are missing a receipt for the French entity?”

  • Office manager

“Which expense claims from the Lisbon office are waiting for reimbursement?”

  • Head of finance

“How is each team tracking against its quarterly budget so far?”

Changes, governed

What the assistant can prepare in Spendesk

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Spendesk under a named person.
  • Submit a spend request for a single-use virtual card

Requests follow your approval policy, and a finance approver is added above €2,000.

  • Schedule payment of an approved supplier invoice

Every invoice payment needs a second approver in finance before it is sent.

  • Add a missing receipt to a card payment

The employee attaches the receipt and confirms; the payment itself is unchanged.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Spendesk

Spendesk holds cards, supplier bank details and reimbursements for teams in many countries. A subscription card left running keeps charging long after anyone remembers it. New cards add spending power, so they need finance as well as your approval policy, and supplier payments wait for a second approver.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Spendesk records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Spendesk questions

Can the assistant create Spendesk cards?

It can prepare a spend request for a single-use or subscription card. The card is only created after your approval policy and a finance approver both agree, because it adds spending power.

Does it work for companies with several European entities?

Yes. Roles can follow entities, and answers state the entity and currency for each amount, so a controller in one country does not mix figures with another country or entity.

Can it help prepare month-end in Spendesk?

Yes. Finance can ask which payments are missing receipts, VAT details or accounting codes, and get a list by employee or team to follow up before exporting to the ledger.

Does mcpbizapps keep a copy of our Spendesk data?

No. When someone asks a question, mcpbizapps reads the answer live from Spendesk through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Spendesk is a trademark of its owner. mcpbizapps is not affiliated with Spendesk; the name describes the connection only.
