Asana for Claude, ChatGPT and Copilot

Project managers and team leads can ask Claude, ChatGPT or Copilot what is overdue in Asana, how a portfolio is doing and which goals are off track. People see the projects their role allows. New tasks and date changes are shown before saving, and bigger changes wait for the project owner. The guided pilot maps the custom fields each team relies on.

Changes, governed

What the assistant can prepare in Asana

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Asana under a named person.
  • Create tasks from meeting notes and assign them in a project

A batch of more than fifteen new tasks needs the project owner to approve before anyone is assigned.

  • Change the due date on a milestone

Pushing a milestone back by more than a week needs the project owner to approve.

  • Draft a project status update

The project owner reviews and posts the update, so nothing is posted without them.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Asana

Asana often tracks launches before they are public, hiring plans and client work. Pushing a milestone back more than a week needs the project owner, as does creating more than fifteen tasks at once. Status updates are posted by the owner, never by the assistant, and the PMO gets a clear record of who changed what.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Asana records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

How Asana gets connected

We connect Asana for your team in a guided pilot, on the same gateway every app uses. No code on your side.

  1. 01

    Agree the questions

We list the Asana questions and changes your team needs, and who may use each.

  2. 02

    Connect with your admin

Your Asana administrator creates a dedicated integration user with only that access.

  3. 03

    Test with your people

A small group tries it in Claude, ChatGPT or Copilot while we tune the tools.

  4. 04

    Roll out with rules

Roles, approval limits and the audit log are in place before everyone joins.

Asana questions

Can the assistant read Asana portfolios and goals?

Yes. It can summarize the projects in a portfolio with their status and owners, and list goals with their progress and supporting projects. Roles decide which portfolios and goals each person may ask about.

Does it use our custom fields in Asana?

Yes. Custom fields such as priority, budget or client name can be used to filter and group tasks. During the pilot we agree which fields matter to each team, so answers use the same terms your projects already use.

Can it create tasks for other people?

It can prepare tasks with assignees, due dates and sections from your notes. You see the full list as a preview, and a large batch waits for the project owner to approve before anyone is assigned work.

Does mcpbizapps keep a copy of our Asana data?

No. When someone asks a question, mcpbizapps reads the answer live from Asana through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Asana is a trademark of its owner. mcpbizapps is not affiliated with Asana; the name describes the connection only.
