Smartsheet for Claude, ChatGPT and Copilot
Program managers can ask Claude, ChatGPT or Copilot which Smartsheet rows are behind schedule, which critical path tasks start soon, what a report totals by owner and which update requests nobody answered. Workspaces follow each role, and row changes are shown before saving. The guided pilot confirms what each status column means for your sheets.

Changes, governed
What the assistant can prepare in Smartsheet
The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.
- 1 Prepare The assistant drafts the change from the request.
- 2 Preview and confirm The person sees exactly what will change.
- 3 Approve Above your limits, a second person decides.
- 4 Saved and logged Written to Smartsheet under a named person.
-
Update status and percent complete on rows after a meeting
Status changes on critical path rows need the project manager to approve.
-
Add rows to an intake sheet from an emailed request
Fewer than ten rows go in on the requester's confirmation; larger batches wait for approval.
-
Send an update request to a row owner
Update requests to people outside your company need the sheet owner to approve.
Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.
Why it needs care
Governance built for Smartsheet
Budgets, vendor costs and schedules in Smartsheet are often shared with contractors. Critical path rows need the project manager before they change, and update requests to people outside the company need the sheet owner. Formulas and columns are never touched. The log shows who asked and who updated each row.

Smartsheet questions
Can the assistant read Smartsheet reports and dashboards?
It reads reports and the sheets behind them, so it can total columns, group rows by owner and list rows that meet a condition. Dashboards are built from those same sheets and reports, so the answers line up with what your team sees.
Does it understand our status columns and symbols?
Yes. Status values such as red, yellow and green, checkboxes and dropdown columns can be used in questions. During the pilot we confirm what each column means for your sheets, so a red row means the same to the assistant as it does to the team.
Can it edit formulas or sheet structure?
No. Columns, formulas and sheet layout stay with sheet owners. The assistant prepares row values and update requests, which the person confirms, so the structure your team built is never changed by a question.
Does mcpbizapps keep a copy of our Smartsheet data?
No. When someone asks a question, mcpbizapps reads the answer live from Smartsheet through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.
Smartsheet is a trademark of its owner. mcpbizapps is not affiliated with Smartsheet; the name describes the connection only.
