Microsoft Project for Claude, ChatGPT and Copilot

PMOs and project managers can ask Claude, ChatGPT or Copilot which Microsoft Project milestones slipped against the baseline, which critical path tasks start soon and which resources are over-allocated. Each person reaches the plans they manage or follow. Schedule changes are shown before saving, and moves to the finish date wait for the sponsor. We scope and connect your plans in a guided pilot.

Ask in a sentence

What can your team ask Microsoft Project?

Questions from PMO director, project manager, resource manager and others, answered from live Microsoft Project data and only for the people allowed to see them.

Records it works with

  • Projects
  • Tasks
  • Milestones
  • Resources
  • Assignments
  • Baselines
  • PMO director

“Which projects have a finish date more than two weeks past their baseline?”

  • Project manager

“Which tasks on the critical path for the Data Center Move start in the next ten days?”

  • Resource manager

“Which resources are over-allocated in November across our active projects?”

  • Program manager

“List the milestones in the ERP Rollout program that slipped since the last baseline was saved.”

  • Finance business partner

“How many hours of remaining work are left on the Harbor Terminal upgrade?”

  • Executive sponsor

“Give me a one paragraph status on the Lisbon office opening schedule.”

Changes, governed

What the assistant can prepare in Microsoft Project

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Microsoft Project under a named person.
  • Update percent complete on tasks after a status meeting

The project manager confirms; any change to a milestone needs the PMO lead to approve.

  • Reassign a task to another resource

Assigning work to someone in another department needs their resource manager to approve.

  • Shift task start dates after a supplier delay

Any move that pushes out the project finish date needs the executive sponsor to approve.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Microsoft Project

One changed dependency can move a finish date by weeks, along with customer commitments and staffing. Dependencies stay with the project manager. Milestone changes need the PMO lead, work assigned across departments needs that resource manager, and any date that pushes out the finish needs the executive sponsor. The log shows who changed the schedule and when.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Microsoft Project records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

How Microsoft Project gets connected

We connect Microsoft Project for your team in a guided pilot, on the same gateway every app uses. No code on your side.

  1. 01

    Agree the questions

We list the Microsoft Project questions and changes your team needs, and who may use each.

  2. 02

    Connect with your admin

Your Microsoft Project administrator creates a dedicated integration user with only that access.

  3. 03

    Test with your people

A small group tries it in Claude, ChatGPT or Copilot while we tune the tools.

  4. 04

    Roll out with rules

Roles, approval limits and the audit log are in place before everyone joins.

Microsoft Project questions

Which Microsoft Project plans can it work with?

We agree the scope in the pilot. The usual starting point is the plans your teams keep in Microsoft 365, including Planner premium plans. Schedules kept as desktop files are reviewed case by case, depending on where they are stored.

Can it compare a schedule to its baseline?

Yes. It can list tasks and milestones whose current dates differ from the saved baseline and by how much, so a PMO can see slippage across many projects without opening each schedule.

Will the assistant change dependencies between tasks?

Not in the suggested scope. Dependencies shape the whole schedule, so they stay with the project manager. The assistant prepares progress updates, reassignments and date shifts, each shown as a preview first.

Does mcpbizapps keep a copy of our Microsoft Project data?

No. When someone asks a question, mcpbizapps reads the answer live from Microsoft Project through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Microsoft Project is a trademark of its owner. mcpbizapps is not affiliated with Microsoft; the name describes the connection only.
