SharePoint for Claude, ChatGPT and Copilot

Employees can ask Claude, ChatGPT or Copilot for the latest version of a statement of work in SharePoint, what a policy in a document library says, which list items are overdue and which files are shared outside the company. Sites follow each role, and list or file changes are shown first. The guided pilot opens with a short list of sites.

Ask in a sentence

What can your team ask SharePoint?

Questions from knowledge manager, project manager, IT administrator and others, answered from live SharePoint data and only for the people allowed to see them.

Records it works with

  • Sites
  • Document libraries
  • Lists
  • Pages
  • Files
  • Versions
  • Knowledge manager

“Which documents in the Policies library on the HR site were last reviewed before 2025?”

  • Project manager

“Find the latest signed statement of work for the Kestrel Logistics project on the Delivery site.”

  • IT administrator

“Which files on the Finance site are shared with people outside the company?”

  • Risk manager

“Which items in the Risk Register list are rated high and have no owner?”

  • Sales manager

“What does the current pricing guide in the Sales Enablement library say about multi-year discounts?”

  • Internal communications manager

“Which news pages were published on the intranet this month, and by whom?”

Changes, governed

What the assistant can prepare in SharePoint

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to SharePoint under a named person.
  • Add an item to a SharePoint list, such as a risk or request

Items rated high risk go to the list owner before they appear on the list.

  • Move a file to another folder in the same document library

Moves into a library with stricter permissions need the site owner to approve.

  • Update metadata columns on documents

Changing the review date or owner on more than ten documents needs the library owner to approve.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for SharePoint

Years of inherited permissions mean SharePoint sites can be more open than anyone intended, with contracts, board papers and HR files side by side. A sales rep never reaches the HR site through the assistant. High risk list items need the list owner, moves into stricter libraries need the site owner, and searches are logged by name.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the SharePoint records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

How SharePoint gets connected

We connect SharePoint for your team in a guided pilot, on the same gateway every app uses. No code on your side.

  1. 01

    Agree the questions

We list the SharePoint questions and changes your team needs, and who may use each.

  2. 02

    Connect with your admin

Your SharePoint administrator creates a dedicated integration user with only that access.

  3. 03

    Test with your people

A small group tries it in Claude, ChatGPT or Copilot while we tune the tools.

  4. 04

    Roll out with rules

Roles, approval limits and the audit log are in place before everyone joins.

Then people use it from the assistant they already have

SharePoint questions

Does it follow SharePoint permissions on sites and libraries?

The connection reaches only the sites granted to the integration user, and we start the pilot with a short list of sites. mcpbizapps roles then limit each person further, so a sales rep never reaches the HR site through the assistant.

Can the assistant read older versions of a document?

Yes. It can list the version history of a file and compare what changed between versions, which helps when someone asks what moved between the draft and the signed copy of an agreement.

Will it change sharing on SharePoint files?

It can report which files are shared outside the company so owners can act. Granting new outside access is not offered, and turning sharing off can be prepared for the site owner to confirm.

Does mcpbizapps keep a copy of our SharePoint data?

No. When someone asks a question, mcpbizapps reads the answer live from SharePoint through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

SharePoint is a trademark of its owner. mcpbizapps is not affiliated with Microsoft; the name describes the connection only.
