OneDrive for Claude, ChatGPT and Copilot
Employees can ask Claude, ChatGPT or Copilot about their own OneDrive: the file a colleague shared last week, what changed between two versions of a proposal and which of their files are shared outside the company. Nobody browses a colleague's OneDrive. Moves and sharing changes are shown for review first. The guided pilot includes deciding which administrators help with offboarding.

Changes, governed
What the assistant can prepare in OneDrive
The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.
- 1 Prepare The assistant drafts the change from the request.
- 2 Preview and confirm The person sees exactly what will change.
- 3 Approve Above your limits, a second person decides.
- 4 Saved and logged Written to OneDrive under a named person.
-
Move a file from OneDrive to a SharePoint document library
The owner confirms; moving files into a library with wider access needs the site owner to approve.
-
Stop sharing a file with outside people
The file owner confirms before any access is removed.
-
Rename and file documents into folders
Files in the person's own OneDrive are renamed and filed once they confirm the new names.
Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.
Why it needs care
Governance built for OneDrive
Personal storage often ends up holding payroll exports, customer lists and drafts that never reached a team site. Each person works with their own files and those shared with them. Moving a file into a SharePoint library with wider access needs the site owner, and access for outside people is removed only after the file owner confirms.

OneDrive questions
Can the assistant read a colleague's OneDrive files?
No. Each person works with their own OneDrive and files others chose to share with them. Admins can be given wider reach for offboarding, and every such request is recorded in the audit log under their name.
Does it help with offboarding a departing employee?
Yes, for administrators you allow. It can list the files in the OneDrive of someone leaving that look like team material and prepare moves to the right SharePoint library, each confirmed by the administrator.
Can it compare two versions of a file?
Yes. For Word documents and other text files it can summarize what changed between versions, which helps when a proposal or contract has been edited by several people over a few weeks and nobody remembers who changed what.
Does mcpbizapps keep a copy of our OneDrive data?
No. When someone asks a question, mcpbizapps reads the answer live from OneDrive through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.
OneDrive is a trademark of its owner. mcpbizapps is not affiliated with Microsoft; the name describes the connection only.
