Google Workspace for Claude, ChatGPT and Copilot

People can ask Claude, ChatGPT or Copilot when colleagues are free, where an email thread with a client went, what a Meet transcript covered and which Docs changed in a shared drive. Each person works with their own mail and calendar plus shared drives their role allows. Replies are saved as drafts. Google Workspace is connected for your domain in a guided pilot.

Ask in a sentence

What can your team ask Google Workspace?

Questions from executive assistant, account manager, operations manager and others, answered from live Google Workspace data and only for the people allowed to see them.

Records it works with

  • Gmail threads
  • Calendar events
  • Docs
  • Shared drives
  • Meet transcripts
  • Contacts
  • Executive assistant

“When are Dana, Luis and I all free for an hour next week?”

  • Account manager

“Find the email thread with Brookfield Dental about the contract start date.”

  • Operations manager

“Which Docs in the Operations shared drive did our contractors edit this month?”

  • Sales director

“Summarize the Meet transcript from the Monday pipeline call.”

  • Recruiting coordinator

“Which interviews are on my calendar this week, and which have no room booked?”

  • Customer success manager

“What did Ines from Harrow Logistics ask for in her last three emails?”

Changes, governed

What the assistant can prepare in Google Workspace

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Google Workspace under a named person.
  • Draft an email reply in Gmail

The reply is saved as a draft for the person to send, and the assistant never sends mail itself.

  • Create a calendar event with attendees and a Meet link

The organizer confirms the invite; guests from outside the company need the organizer to confirm each one.

  • Create a Doc from meeting notes in a shared drive

The author reviews the Doc, and shared drives open to the whole company need the drive manager to approve.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Google Workspace

Mail and calendars are personal, and shared drives can hold contracts and HR files. Nobody reads a colleague's mailbox, only free and busy times. Mail is never sent by the assistant, outside guests are confirmed one by one, and Docs in company wide drives need the drive manager. Each request belongs to one named person.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Google Workspace records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Google Workspace questions

Can the assistant send emails from Gmail?

No. It writes replies and new messages as Gmail drafts, and the person reviews and sends them from Gmail. That keeps every outgoing email under the control of the person whose name is on it.

Can the assistant read the mailboxes of colleagues?

No. Each person works with their own mailbox and calendar. For scheduling, the assistant reads free and busy times that colleagues already share, not the details of their meetings or their email.

Does it cover Google Sheets and Drive as well?

Yes. Google Drive and Google Sheets have their own catalog pages because many teams connect them for file and spreadsheet questions. All three can share one set of roles and one audit log.

Does mcpbizapps keep a copy of our Google Workspace data?

No. When someone asks a question, mcpbizapps reads the answer live from Google Workspace through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Google Workspace is a trademark of its owner. mcpbizapps is not affiliated with Google; the name describes the connection only.
