UpKeep for Claude, ChatGPT and Copilot

Facility and plant teams on UpKeep need to see open work orders by priority, requests nobody has reviewed, meters that crossed a threshold and when an asset was last inspected. mcpbizapps lets Claude, ChatGPT or Copilot answer those for the locations each person covers. A guided pilot with your maintenance team sets it up so assistants use your own categories and asset names.

Ask in a sentence

What can your team ask UpKeep?

Records it works with

  • Work orders
  • Requests
  • Assets
  • Preventive maintenance
  • Meters
  • Parts
  • Locations
  • Facilities manager

“Which high priority work orders at the Tempe campus are still open after 48 hours?”

  • Maintenance technician

“When was the rooftop unit RTU-6 last inspected, and what was noted?”

  • Maintenance supervisor

“Which requests submitted this week have not been approved or declined?”

  • Reliability engineer

“Which meter readings on the boilers went above their limit this month?”

“How many preventive maintenance work orders did we complete on time in September?”

  • Purchasing coordinator

“Which parts used on work orders this month are now below their minimum?”

Changes, governed

What the assistant can prepare in UpKeep

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to UpKeep under a named person.
  • Turn a request into a work order with priority and assignee

Only a supervisor can turn a request into a work order, after checking its priority and assignee.

  • Add a meter reading from a walkthrough

Readings outside the usual range ask the technician to confirm twice.

  • Mark a work order complete with notes and photos

Work on assets tagged safety-critical needs supervisor sign-off before completion.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for UpKeep

UpKeep is where your team proves inspections and repairs happened, so a false completion is the real risk. A supervisor signs off before work on safety critical assets is marked complete, and turns requests into work orders, keeping triage where it is today. Unusual meter readings get a second confirmation. Facilities and safety reviews can see who logged each one.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the UpKeep records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

UpKeep questions

Can the assistant approve UpKeep requests?

It prepares the work order from a request, with priority, asset and assignee filled in. A supervisor confirms, so the people who triage requests today keep that decision, and declined requests stay on record.

Does it work for multi-site facilities teams?

Yes. Roles map to UpKeep locations, so a site technician sees their building while a regional manager can compare open work, overdue preventive tasks and costs across every location in one question.

Does mcpbizapps keep a copy of our UpKeep data?

No. When someone asks a question, mcpbizapps reads the answer live from UpKeep through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

UpKeep is a trademark of its owner. mcpbizapps is not affiliated with UpKeep; the name describes the connection only.
