Vertex for Claude, ChatGPT and Copilot

When an invoice shows odd tax, someone has to open Vertex and work out which rule fired. With Claude, ChatGPT or Copilot connected, tax and finance staff can ask how a calculation was reached, which taxability rule applied to a product, what the tax journal shows for a jurisdiction and period, and which certificates support exempt sales. Rule changes come with the transactions they would affect. The guided pilot for Vertex begins with a single legal entity.

Ask in a sentence

What can your team ask Vertex?

Questions from indirect tax manager, tax analyst, VAT manager and others, answered from live Vertex data and only for the people allowed to see them.

Records it works with

  • Tax calculations
  • Tax journal
  • Taxpayers
  • Taxability rules
  • Product taxability
  • Exemption certificates
  • Jurisdictions
  • Indirect tax manager

“Which taxability rule applied to SaaS subscriptions sold into Pennsylvania last month?”

  • Tax analyst

“What does the tax journal show for use tax accrued on purchases in Illinois this quarter?”

  • VAT manager

“How much output VAT did the Irish taxpayer record in September, split by rate?”

  • Order-to-cash lead

“Why did this invoice for Maritime Freight Systems calculate no tax in New Jersey?”

  • Head of tax

“Which jurisdictions had the biggest change in tax collected between the last two quarters?”

  • Tax technology lead

“Which product classes do not have a taxability mapping yet?”

Changes, governed

What the assistant can prepare in Vertex

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Vertex under a named person.
  • Prepare a product taxability mapping for a new item class

Every mapping needs the indirect tax manager, and changes affecting several countries need the head of tax.

  • Add an exemption certificate record for a customer

The tax analyst checks the certificate, and a second person approves before it is active.

  • Flag a tax journal entry for review with a note

A review flag only adds a note to the journal entry; the tax analyst confirms it.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Vertex

Vertex sits inside the systems that bill and buy for many legal entities, so a single mapping can shift tax on every invoice in a country. Access follows taxpayers. Before a mapping or certificate goes live, the preview lists affected products and jurisdictions, and nothing activates on the word of one person.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Vertex records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Vertex questions

Does this work with Vertex O Series and Vertex Cloud?

We confirm your Vertex product and how it is deployed in the pilot. The assistant reads calculations and the tax journal through a dedicated integration user, and does not keep transaction data after answering.

Can it show which rule drove a calculation?

Yes. For a given invoice or line, the assistant shows the jurisdictions, rates and taxability rules Vertex used, so an order-to-cash team can see whether the product mapping or the customer setup caused it.

Can it handle VAT as well as US sales tax?

Yes, if your Vertex setup covers VAT. Roles can follow taxpayers by country, and answers name the taxpayer, jurisdiction and rate so US sales tax and European VAT never get mixed.

Does mcpbizapps keep a copy of our Vertex data?

No. When someone asks a question, mcpbizapps reads the answer live from Vertex through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Vertex is a trademark of its owner. mcpbizapps is not affiliated with Vertex; the name describes the connection only.
