Box for Claude, ChatGPT and Copilot

Legal, finance and project teams can ask Claude, ChatGPT or Copilot which Box folders gained outside collaborators, the current version of a site plan, what a contract in an account folder says and which files carry open shared links. The integration user only reaches folders it is invited to, and metadata or link changes are shown first. Box is connected for your enterprise in a guided pilot.

Changes, governed

What the assistant can prepare in Box

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Box under a named person.
  • Apply a metadata template to the files in a folder

The person confirms the values; more than fifty files at once needs the folder owner to approve.

  • Assign a review task on a file to a colleague

A review task goes to a colleague who can already open the file, with the due date confirmed first.

  • Remove an expired or open shared link

The file owner confirms before the link stops working.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Box

Contracts, board materials and records under retention often live in Box. Classification labels can keep confidential files away from people who should not see them. Applying metadata to more than fifty files needs the folder owner, shared links are removed only when the file owner agrees, and outside collaborators are reported but never added.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Box records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Box questions

Does the assistant respect Box collaborations and classifications?

The integration user reaches only the folders it is invited to, and roles narrow that for each person. Classification labels can also be used in roles, so files marked confidential are left out for people who should not see them.

Can it search by Box metadata?

Yes. Questions can filter files by metadata template values, such as contract type, region or renewal date, which is often faster than searching by file name. In the pilot we map the templates your teams use.

Will the assistant add collaborators to Box folders?

No. Inviting people, inside or outside the company, stays with folder owners. The assistant can list current collaborators and recent changes so owners can review who has access and remove anyone who no longer needs it.

Does mcpbizapps keep a copy of our Box data?

No. When someone asks a question, mcpbizapps reads the answer live from Box through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Box is a trademark of its owner. mcpbizapps is not affiliated with Box; the name describes the connection only.
