Datarails for Claude, ChatGPT and Copilot

Department heads ask finance the same budget questions every month. With Datarails behind Claude, ChatGPT or Copilot, they can ask directly: actuals consolidated from the ledger, budget against actual by department, forecast changes since last month, and which month-end close tasks or reconciliations are still open. Each person sees their own entities and departments. Your FP&A team works with us on a guided pilot to connect Datarails.

Ask in a sentence

What can your team ask Datarails?

Questions from controller, FP&A manager, operations director and others, answered from live Datarails data and only for the people allowed to see them.

Records it works with

  • Budgets
  • Forecasts
  • Actuals
  • Entities
  • Close tasks
  • Reconciliations
  • Reports
  • Controller

“Which month-end close tasks for October are still open, and which reconciliations are unsigned?”

  • FP&A manager

“How do consolidated actuals compare with budget for the three US entities this quarter?”

  • Operations director

“Which cost lines in my department are more than $5,000 over budget year to date?”

  • CFO

“What changed between the July and October forecasts for revenue and gross margin?”

  • Senior accountant

“Is the cash reconciliation for the Canadian entity balanced for last month?”

  • Clinic group finance lead

“Compare revenue per location against budget for our twelve clinics in September.”

Changes, governed

What the assistant can prepare in Datarails

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Datarails under a named person.
  • Update a forecast amount for a department and month

Changes above $15,000 need the FP&A manager to approve.

  • Mark a close task as done with a note

The task owner confirms; tasks linked to reconciliations need the controller’s review.

  • Prepare a variance comment for the monthly report

The writer confirms the comment, and the FP&A manager approves any that leadership will read.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Datarails

Datarails consolidates actuals from several systems and feeds the Excel reports leadership reads, so a wrong input travels far. Managers stay in their departments and entities. Variance comments shared with leadership need the FP&A manager, and close tasks tied to reconciliations get the controller’s review before they count as done.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Datarails records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

How Datarails gets connected

We connect Datarails for your team in a guided pilot, on the same gateway every app uses. No code on your side.

  1. 01

    Agree the questions

We list the Datarails questions and changes your team needs, and who may use each.

  2. 02

    Connect with your admin

Your Datarails administrator creates a dedicated integration user with only that access.

  3. 03

    Test with your people

A small group tries it in Claude, ChatGPT or Copilot while we tune the tools.

  4. 04

    Roll out with rules

Roles, approval limits and the audit log are in place before everyone joins.

Datarails questions

Our team lives in Excel. Why use an assistant?

Finance can keep working in Excel with Datarails. The assistant helps the many people who only need answers, such as department heads, so they stop waiting on finance for each budget question.

Can it track month-end close progress?

Yes, if you use the Datarails close features. Controllers can ask which tasks are open, which reconciliations are unsigned and who owns each one, without opening the close dashboard themselves.

Does it read data from our ERP directly?

It reads the actuals already consolidated in Datarails. If your ERP is also connected through mcpbizapps, people can follow a figure back to the source transactions under that app’s own roles.

Does mcpbizapps keep a copy of our Datarails data?

No. When someone asks a question, mcpbizapps reads the answer live from Datarails through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Datarails is a trademark of its owner. mcpbizapps is not affiliated with Datarails; the name describes the connection only.
