Gusto for Claude, ChatGPT and Copilot

Founders, office managers and outside accountants tend to ask the same Gusto questions every week. Claude, ChatGPT or Copilot can answer them: upcoming payrolls and pay schedules, past paystubs, contractor payments, PTO balances, time off requests and onboarding for new hires. Employees reach only their own pay. Off-cycle payrolls and pay changes need a second person. Getting started means a short guided pilot on your Gusto account.

Ask in a sentence

What can your team ask Gusto?

Records it works with

  • Pay schedules
  • Paystubs
  • Contractor payments
  • Time off requests
  • PTO policies
  • Employees
  • Founder

“What is the total cost of the next regular payroll, including employer taxes and benefits?”

  • Office manager

“Which contractors were paid more than $3,000 this quarter, and for what?”

  • Bookkeeper

“Show wages and employer taxes for each payroll in October, by department.”

  • Operations manager

“Who has time off requests waiting for approval next month?”

  • Employee

“How many PTO hours will I have after my vacation in March?”

  • HR coordinator

“Which new hires have not finished onboarding or signed their offer letter in Gusto?”

Changes, governed

What the assistant can prepare in Gusto

The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.

  1. 1 Prepare The assistant drafts the change from the request.
  2. 2 Preview and confirm The person sees exactly what will change.
  3. 3 Approve Above your limits, a second person decides.
  4. 4 Saved and logged Written to Gusto under a named person.
  • Prepare an off-cycle payroll for a correction or bonus

Off-cycle payrolls always need a second approver, usually the owner, before they are submitted.

  • Draft a contractor payment from an approved invoice

Payments over $2,500 need the owner or finance lead to approve.

  • Approve a time off request under a PTO policy

The manager confirms; requests beyond the balance need HR.

Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.

Why it needs care

Governance built for Gusto

In a small company on Gusto, a handful of people can usually see everyone's pay and bank details. Roles narrow that, so a manager sees time off but not salaries. Off-cycle payrolls and contractor payments appear as a preview with amounts and dates before anything is submitted, and pay changes need a second approver. Each request is kept with the asker's name.

  • Sign-in by work email

Only people you invite, with a one-time code. No shared logins.

  • Roles per tool

Each role reaches only the Gusto records it needs.

  • View only, if you prefer

Admins can keep a connection to lookups with one switch.

  • A preview first

Every change is shown in full before anything is saved.

  • Approval rules

Above your limits, a second person approves the change.

  • One audit log

Every request tied to a named person, ready for review.

Gusto questions

Can the assistant run a Gusto payroll?

No. Regular payrolls are run by the admins in Gusto as today. The assistant can prepare an off-cycle payroll or contractor payment for review, and a second person must approve it before it is submitted.

Does it cover contractors as well as employees?

Yes. You can ask about contractor payments, totals per contractor and who will need a year-end tax form, alongside employee payrolls, with roles deciding who sees which figures and names.

Can our outside accountant use it?

Yes, with a role made for them. An accountant can be limited to payroll totals, tax figures and journal summaries for the books, without access to personal details, home addresses or individual bank accounts.

Does mcpbizapps keep a copy of our Gusto data?

No. When someone asks a question, mcpbizapps reads the answer live from Gusto through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.

Gusto is a trademark of its owner. mcpbizapps is not affiliated with Gusto; the name describes the connection only.
