IFS Cloud for Claude, ChatGPT and Copilot
Service and maintenance teams on IFS Cloud can ask Claude, ChatGPT or Copilot about open work orders by site, work tasks waiting for a technician, service requests past their response time and contracts nearing renewal. mcpbizapps keeps each person to their sites. A contract price rise above 5%, or any contract over $100,000, needs the service director. Your service organization joins through a guided pilot.

Changes, governed
What the assistant can prepare in IFS Cloud
The assistant never saves on its own. It prepares the change, the person checks the preview and confirms, and anything above your limits waits for an approver.
- 1 Prepare The assistant drafts the change from the request.
- 2 Preview and confirm The person sees exactly what will change.
- 3 Approve Above your limits, a second person decides.
- 4 Saved and logged Written to IFS Cloud under a named person.
-
Create a work order from a service request
Urgent requests from key accounts alert the service manager when the work order is created.
-
Reallocate work tasks to another resource
Reallocating more than 10 work tasks at once needs the service manager.
-
Extend a service contract with revised pricing
Price changes above 5% or contracts over $100,000 need the service director to approve.
Example rules. During the pilot you set the limits, the approvers and which roles may prepare each change.
Why it needs care
Governance built for IFS Cloud
In IFS Cloud, service work feeds contracts, equipment history and finance, so one edit can change what you bill or owe under contract. Contract lines and pricing show in a preview before anything saves. Moving more than 10 work tasks needs the service manager, and large contract changes need the service director.

IFS Cloud questions
Can ChatGPT answer questions about IFS Cloud work orders?
Yes. Service managers and planners can ask about open work orders, work tasks and their status by site, with figures read from IFS Cloud at the time of asking. Each person stays within the sites they cover.
Does it cover service contracts and entitlements?
Yes. The assistant can report on contract coverage, response times and renewal dates. Changes to a contract, such as an extension or new price, are prepared as a preview and follow your approval limits.
Can it change scheduling in IFS Cloud?
It can prepare individual allocations and reallocations of work tasks. How your scheduling engine plans the day stays with your IFS setup, and larger moves wait for a service manager.
Does mcpbizapps keep a copy of our IFS Cloud data?
No. When someone asks a question, mcpbizapps reads the answer live from IFS Cloud through a dedicated integration user and returns it without storing it. The audit log records who asked, which tool ran and the result, with personal fields and free text removed.
IFS Cloud is a trademark of its owner. mcpbizapps is not affiliated with IFS; the name describes the connection only.
